Guests & RSVPs

Whole event or evening only invitations

Give each guest group the right arrival details, timetable, meal choices and seating requirements.

For HostsUpdated 31 August 2026

Before you start

Give each guest group the right arrival details, timetable, meal choices and seating requirements. Sign in to the correct host account and confirm the event name before making changes. Use a current browser and allow any save or upload confirmation to finish before leaving the page.

What to do

  1. Open Guest list & RSVPs and choose Invitation types.
  2. Enable Offer part-only invitations. Keep Evening only or enter a label such as Dinner only, then set the arrival time. The date and timezone come from your event.
  3. Leave arrival venue and address blank to use the main venue, or enter separate arrival details.
  4. Switch on 'Include on meal choices?' or 'Include on seating plan?' only if those guests need them. Both start off; meal choices use your existing menu when the event's meal feature is enabled.
  5. Save invitation types, then choose Invited to on a guest row or in Add/Edit guest. Everyone in that group shares the same invitation period and one RSVP.
  6. Review the confirmation before changing an existing group: its RSVP returns to Awaiting and its table assignment is removed. Its personal invitation link stays the same.
  7. Use Send invite to share or resend the personal link. No notification is sent automatically.
  8. Combine the invitation filter with search and RSVP filters. Guest exports include the invitation type, and attendance is shown for each type without changing your overall guest totals.
  9. On Overview, compare invited, attending, awaiting and declined people for Whole event, your part-only invitation and Combined total. Select an invitation label to open those guests, or Combined total to see everyone.

Check the result

Open the affected page again and confirm the saved information, status or media appears as expected. When the change affects guests, use Preview or the event link on a second device to check the guest result. Avoid making the same edit on two devices at once while a save is still in progress.

Good to know

  • An arrival time is required before part-only invitations can be assigned.
  • Part-only guests see their arrival details even without a timetable. When a timetable exists, they see activities from their arrival onwards, including entries after midnight.
  • Guests whose invitation does not need seating never appear as Unseated. Meal choices are retained by person but excluded from active reports while the person is not attending or eligible.
  • Changing arrival details does not reset existing RSVPs. Turning 'Include on seating plan?' off removes affected assignments; turning it back on does not restore them.
  • Change every part-only group to Whole event before disabling invitation types.
  • Available on every plan. All invited people still count towards the guest allowance.

If it still does not work

Reload the affected page once and confirm you are using the correct event URL. Note the device, browser, approximate time and exact message shown. If the issue involves a Cloudflare error, include its Ray ID and UTC time. Do not repeatedly submit payments, destructive actions or large uploads while an error is active.
