Event planning

Build and update the seating plan

Seat attending guest groups together, manage table capacities and save each change immediately.

For HostsUpdated 31 August 2026

Before you start

Seat attending guest groups together, manage table capacities and save each change immediately. Sign in to the correct host account and confirm the event name before making changes. Use a current browser and allow any save or upload confirmation to finish before leaving the page.

GuestiGram spatial seating planner showing draggable tables, guests to seat and a selected table inspector.Demo example
The current seating planner uses a room canvas: drag guests and tables, then refine the selected table in the inspector.

What to do

  1. Collect complete RSVPs so the attending people are available to seat.
  2. Open Seating plan and review the attending people in the To seat panel.
  3. Add tables to the room canvas, then set each table's name, capacity, shape, colour and rotation in the selected-table inspector.
  4. Drag attending guests or groups from To seat onto a table; the planner prevents assignments beyond its capacity.
  5. Move and rotate tables on the canvas, or choose Auto-arrange, then Arrange tables, to space them evenly. Cancel keeps their current positions. Guests stay at their assigned tables, and position changes save automatically.
  6. Choose Fit room to view to see every table and chair. Fit and zoom only change your view; they do not move tables or change the saved plan.

Check the result

Open the affected page again and confirm the saved information, status or media appears as expected. When the change affects guests, use Preview or the event link on a second device to check the guest result. Avoid making the same edit on two devices at once while a save is still in progress.

Good to know

  • Only attending members count towards seats.
  • The default Table 1 can be renamed or resized.
  • A failed save should leave the last confirmed server plan intact; retry before continuing on another device.

If it still does not work

Reload the affected page once and confirm you are using the correct event URL. Note the device, browser, approximate time and exact message shown. If the issue involves a Cloudflare error, include its Ray ID and UTC time. Do not repeatedly submit payments, destructive actions or large uploads while an error is active.
